Exporting Data

Because our users often like to keep local copies of their data, we have provided several ways to get data out of Saasu for your peace of mind and protection.

How do I export data from Saasu?

You can export data to PDF (Portable Document Format) format and easily email or print the file from your computer.

You can also export data to a spreadsheet and save this as a CSV file. Sometimes you need structured data. For example, you might not want to print information but work on it as a spreadsheet or in another software program. For these purposes, most of our reports offer spreadsheet (CSV)-compatible export formats. You will see the relevant icon at the top of the report screen.

If you are loading data into something other than a spreadsheet (eg another financial system when you are doing statutory reporting in your country), there are a wide range of products and formats available. Because these change all the time as companies and products come and go, it is impractical for Saasu to support them all. Furthermore, some of these products compete directly with us and unfortunately won’t co-operate with us to help us help you.

We recommend you first try the spreadsheet approach detailed above using an appropriate report (e.g. General Ledger Detail, Profit and Loss or Balance Sheet). If that doesn’t work, ask the vendor of your target software to provide you with either of these formats:

  • A conversion format to import one of the existing Saasu file formats (feel free to give them a sample of data exported from our system if they need it but take care with your privacy)
  • All the import formats they already support (in detail wth exact columns, formats, and column order) and compare the formats (open them in a spreadsheet or just try to import it in your other software).

API Connector to Pull Updates

Another option is to get a computer program developed for you to do the job. This is probably a more expensive approach but it will ensure you get the data to your local server in the format you want and at the frequency you would like. Create a help ticket if you would like us to arrange for a Tech Partner to speak to you about setting this up. You can also get a technical firm of your own choice to register with us as a Tech Partner. All these firms can use our web services connector technology (also called an API – Application Programming Interface) to extract (and insert) information carefully from your files.

Copying Files around (Exporting/Downloading)

We already do lots of backups on your behalf all the time, so it’s not really necessary to export data for data protection reasons alone. However, sometimes people want to have their own copies for other reasons. The best way to archive your data is to export the essential entities in your file from Saasu - General Ledger, Contacts, Accounts, and Inventory Items.

Exporting Data

The functionality for exporting applies to sales, purchases, and other transactions. In fact, anywhere you can see the export icon. For example, you can click the Sales List and filter it according to your requirements. You can then click Select all at the top of the screen to select all the transactions, click export, and save the file. Exporting your data is that easy.export-icon.gif
